A leading retailer in Bangkok is seeking an Buying Admin (Retail) to provide essential support to the Category Management team. What you'll do:

As an Buying Admin (Retail), you will be at the heart of category management operations, providing vital administrative support that keeps everything running smoothly. Your day-to-day activities will involve close collaboration with suppliers, marketing teams, vendors, and other assistants within the organisation. You will be responsible for preparing product tastings, updating promotional materials, managing communications between multiple stakeholders, organising meetings, handling calls when required, drafting correspondence such as rejection letters to suppliers, requesting information from vendors, releasing updates internally or externally as appropriate, maintaining meticulous records both physically and digitally, supporting vendor accreditation processes including contract management and notarisation tasks, assisting with product registration requirements by gathering necessary data points from different sources within the business or externally from partners.

  • Gather product samples from suppliers for tastings and coordinate the preparation of tasting sessions to ensure all stakeholders have access to relevant information.
  • Organise and maintain up-to-date records of flyers, posters, and photo databases for marketing purposes, ensuring all materials are accurate and accessible.
  • Act as a primary point of contact for external partners by arranging meetings, handling incoming calls in the absence of the Category Manager, and facilitating clear communication at all times.
  • Draft rejection letters to unapproved suppliers with professionalism and empathy, maintaining positive relationships even when delivering difficult news.
  • Request necessary information from vendors promptly and release internal updates as required to keep all parties informed about ongoing projects.
  • Organise and maintain office filing systems as well as digital databases, ensuring all documents are accurately recorded and easily retrievable.
  • Support vendor accreditation processes by gathering required documentation, managing notarised contracts, and following up on outstanding items with vendors.
  • Assist with product registration by collecting relevant data from various sources and coordinating with other departments as needed.
  • Collaborate with replenishment and admin teams on vendor-related topics to ensure seamless supply chain operations.
  • Record contracts and conditions with vendors accurately in the system, keeping all data updated for reference during audits or negotiations.

What you bring:

In this Buying Admin (Retail) position, your proven background in administration—ideally gained within retail or fast-moving consumer goods—will enable you to excel.

  • Demonstrated experience in an administrative or Buying Admin (Retail) role within retail, food supermarket environments where attention to detail was paramount.
  • Excellent organisational skills enabling you to manage multiple priorities simultaneously without compromising accuracy or deadlines.
  • Strong interpersonal abilities allowing you to communicate effectively with colleagues at all levels as well as external partners such as suppliers or vendors.
  • Comfortable using Microsoft Office Suite (Word/Excel/Outlook) or similar tools for document creation/updating spot planning files/data entry tasks.
  • English Communication is a must
